Summary of Career

1. Establish the electronic file structure, archive, and back-up capability and procedures for all proposal materials on the company server system. Establish and document electronic proposal file access and tracking protocols for ensuring the security and integrity of all proposal documentationEstablish and maintain the Storyboard (hard copy) walls and sections and control access to the proposal area and sensitive or proprietary materials Manage the production of draft and final text and graphics


2. Coordinate the internal flow and review of all proposal inputs and outputs Lead on the coordination of the submission of high quality concept notes and proposals and ensure they are developed in a timely manner. Lead on the Go - No Go decision and risk assessment process. Lead on ensuring that new opportunities are reflected in the (Applus Velosi Internal System) SALT system at the outset of proposal development.


3. Lead the proposal development workshop for prospective proposals and communicate proposal requirements and timelines for inputs into and review of proposals with management. Coordinate with departments to ensure that client requirements are met and the appropriate templates used when developing proposals.


4. Monitor progress against the timeline set for proposal development, communicating regularly with all stakeholders and escalating issues when necessary. Coordinate across all stakeholders to ensure that prior to submission all proposals are reviewed and approved by the relevant parties


5. Direct the production, reproduction, and binding/packaging of proposal, final master proposal, and all hard/soft copies


6. Upon the award of the contract, arrange collection of Purchase Order/Agreement. Review the Terms and Conditions of the awarded contract. Discussion on the comments (if any) with Management for their further review and acceptance. Submission of the accepted Agreement to client. Handing over signed contract to technical team for Project execution.


7. Collection and arrangement of Tender related data in the soft copy and hard copy. Preparation of Acknowledgement letter/ email for the confirmation of submission of tender on due date. Review of Tender documents to check the requirements of Bid Bond, site visit, pre-bid meeting, Technical and Commercial Evaluation Criteria. Liaise with project/technical team for the preparation of Project execution plan, Project schedule and other technical documents.


8. Follow Client format (ITB/ITT) to develop Technical and Commercial Proposal. Preparation of Pre-Bid Clarification, if required. Arrangement of documents according to Tender Evaluation Criteria. Preparation of Commercial Proposal according to the standard rates of the company or the rates given by management.


9. Preparation of softcopy (CD/DVD) of the proposal, if required. Printing and packing of Proposal in waxed sealed envelope and submission as advised by client. Online submission of Tender/Pre-Qualifications, if required by client. Meet the deadline for the submission of tender at any cost. Preparation of response for the Post Bid clarification, if required. Preparation of all pre-qualifications, EOIs, SOIs and screening exercise


10. Preparation of monthly Proposals submission report. Coordination with Finance Department for the preparation of bid bond/ Bank Guarantee. Control/Update database (in soft and hard copy) of all administrative, technical and commercial reference documents i.e. registration licenses, annual financial reports, work/ purchase orders, variation orders, completion certificates, service agreements, CV’s of employees, Reference/experience list and etc. ?
